Improving workstations’ efficiency

The efficiency of work stations is a key factor in operational efficiency, through optimal access to the company’s data and applications, based on a fluid and secure user experience.

The need to define and implement governance for work stations responds to 3 key challenges:

  1. Solve irritants and identify associated issues
  • Slowness or even impossibility of evolution (heterogeneous and ageing technologies)
  • Re-entering passwords and customer data while switching from one application to another
  • Different ergonomics from one application to another
  • Insufficient fluidity of management actions and process breakdowns
  • Technical risk of scaling up
  • Little possibility of nomadism
      1. Gather business needs and integrate them into a detailed roadmap
      • Increase commercial efficiency
      • Reinforce business / TTM agility
      • Integrate mobility feature
      • Improve the QoS (Quality of Service)
          1. Federate a Group dynamic
          • Define collectively (MKTG, DISTRIB, OPS, FIN, etc.) the main design/redesign principles to be respected
          • Federate the teams around a work framework: what the future workstation should and should not be, the roadmap to get there and how to collaborate.

This governance goes through the obligation to enact formally the guidelines:

          • Sharing best practice

            • Standardise the ergonomics of the various workstation applications
            • Create a mobile workstation to complement the extranet
            • Bringing the workstation up to the state of the art: rapid integration of functional updates, cost control (infrastructure pooling), possibility of integrating services from third-party functions or partnerships, etc.
          • Defining and prioritising issues

            • Rationalise tools, equipment, IT environments and employees’ practices
            • Automate and dematerialise processes to improve productivity
            • Decompartmentalise the organisation to ensure communication, agility and cross-functionality between the various business lines and directions
            • Provide solutions adapted to future business challenges and ensure their functionality
            • Improve employees’ quality of life by reducing the number of journeys they make.
          • Defining the work framework

            • Identify the different workstation families (Manager, Sales Networks)
            • Evaluate the functional scope to be treated
            • Formalise the initial level of coverage
            • Determine the target to be achieved in line with the predefined challenges
            • Scoring the associated criticity
            • Apply a frugality approach
            • Structure the Roadmap and divide it up

The implementation of governance for the work stations is an opportunity to manage past constraints and to address future needs.

          How we can help

          • Enact the guidelines and working framework

Share with the teams the state of the art of the workplace environment, map the company’s strategy to the desired ambition and assess the scope to be addressed, its initial level of coverage and the associated criticity.

          • Identify key issues and manage irritants

Identify key needs and irritants in terms of applications and software, hardware and equipment, infrastructure, usages and processes, in order to better address future needs.

          • Evaluate and implement the solutions with the highest added value

To provide decision-making elements for the choice of solutions to meet ambitions in terms of user experience management, user journey fluidity, task automation, management of work environment flexibility, security and identity management (IAM), knowledge management and collaborative management.
